At the start of a new year, many users like to generate a series of workflow requests in Exact Synergy as part of their planning process. For instance, marketing staff may be setting up new marketing campaigns/projects and creating work tasks for various aspects of the project, scheduling events, social media posts, etc.
There is a quick way to set up multiple requests of the same type from one screen.
Before we go through an example, it’s important to note that the number of multiple requests allowed must be set within the workflow definition as shown:
Access these settings via Workflow > Set-up > Request types > select the request you wish to modify
You will need the appropriate rights to modify a request definition or will need to contact your software administrator.
In this example, we have set-up a marketing campaign for BikeWorld – a tradeshow event and we will be setting up some work assignments for the execution of this project.
Create a request as you normally would (by clicking the icon to the left of the word “Requests” in the left menu.
Click the word “(Multiple)” beside the requests you wish to create.
Select the fields that will be different for each workflow request.
In this example:
- the description
- the start and end dates
- the employee (Person)
- the comments (Remarks: request)
Also on this screen, you can enter the number of requests you will be creating.
You can leave this at the default setting, it will not create blank requests if you do not enter information for 20 requests.
Click “New” to begin creating the requests
This is the new workflow screen. Note that the multiple fields are listed at the bottom.
Fill in the fields as you normally would.
Once all details are entered, click “Create”
Viewing a Multiple Request
A request that was created using the “Multiple” feature can be viewed as a regular workflow in each person’s task list.
It can also be viewed in the format “Form” by clicking that option in the top left corner.
The requests can also be viewed in “List” format
